Copy AI Review: How I Use the Tool to Create Outlines and Automate Workflows

In this Copy AI review, I tell you how I use Copy AI in my content marketing operations.

I will discuss three main features: training Copy AI on your brand’s voice, the Chat feature, and the Workflow feature.

I will also cover the pricing, pros, and cons of the platform. But before we get into the features, let me give you a quick overview.

What is Copy AI?

Copy AI poses itself as an AI-powered tool designed for GTM teams. It helps with content creation, enriching CRM, scaling prospecting efforts, and more.

The two platforms inside Copy AI—Marketing OS and Sales OS, help you scale and automate repetitive or time-consuming processes.

In the early days of Copy AI, its main focus was to pose itself as an AI content-creation tool, but I think the team soon realized that AI-generated content lacks quality and human touch. 

Since then, they have focused on posting the tool as an assistant to your content marketing operations (which is exactly how you must use Copy AI).

I find many marketers and founders who want to cut costs or publish fast use Copy AI to generate content at scale and keep publishing. This might just destroy your brand in the long run (more on this later).

Content Types You Can Generate with Copy AI

Copy AI can help you generate content for:

  • Long-form articles
  • Social media 
  • Product descriptions
  • Content briefs
  • Ad copy
  • Sales copy

But should you use it for every use case mentioned?

My opinion – No, you shouldn’t.

How to Use Copy AI in Content Marketing Operations

As discussed, Copy AI has two main products:

  • Marketing OS: All-in-one marketing solution that automates workflows.
  • Sales OS: End-to-end solution for sales teams

In this article, I will only be discussing the Marketing OS platform of Copy AI.

You can sign up for Copy AI’s free plan; it lets you try most of the features for free with certain limitations (gives you 2,000 words in chat).

Let’s start by feeding Copy AI some information.

Start by Tailoring Chat to Your Brand Voice

The tailoring chat to your brand voice feature lets you train Copy AI on your brand voice. You can insert a blog post, social media copy, company mission, website copy, etc., in Copy AI, and the platform will try to mimic the brand voice.

To use the feature:

Click on ‘Define your Brand Voice.’

In the text box, copy and paste the content you want Copy AI to mimic the voice of. It can be a blog post, a short-form copy, or a blog outline. In my case, I copy-pasted a part of a blog I wrote recently.

Click the ‘Analyze Brand Voice’ button.

It takes 10-15 seconds for Copy AI to analyze. 

In a text box, Copy AI will show you the brand voice analysis based on your input. You can name the brand voice, and if you’re satisfied with the analysis, click on ‘Save Brand Voice,’ if not, you can ask Copy AI to Redo the process.

💡 My 2 cents: The brand voice analysis by Copy AI was accurate and comprehensive. It explained whom the content was meant for and the tone I should use. Although this feature is mainly meant to train Copy AI for upcoming content creation, I’d do it with the tool. This feature is also a great way to check your competitor’s tone and target audience. You can copy-paste a blog from your competitor’s website or a social media post and ask Copy AI to analyze it 😉.

Use Copy AI’s Chat Feature in my Blog Creation Process

When I write a blog, there are 6 steps I follow:

  1. Writing a catchy blog title that matches search intent
  2. Building a high-level outline 
  3. Preparing a brief (detailed version of the outline)
  4. Research process
  5. Writing the first draft
  6. Editing the draft and proofreading

❗ Spoiler alert: Copy AI can only assist you in some of the steps I mentioned above.

I generally use Copy AI to:

  • Brainstorm title ideas
  • Build a high-level outline 
  • Prepare a brief (very rarely)

And that’s it!

Using AI for writing fastens the process, but the content quality goes down the drain. Compromising content quality is one of the main reasons why brands don’t get effective results from content marketing.

Before we get into the process, let’s quickly walk through Copy AI’s Chat tool.

To start a new chat, you can click the ‘Chat’ option from the left menu or the ‘New Chat’ button from the dashboard.

If you’re new to prompting, I suggest you go to the Browse Prompts option—Copy AI’s prompt library to see some examples.

Time to test the platform out.

I want to write an article targeting the primary keyword AI in marketing. 

So, I start by using Copy AI to brainstorm title ideas based on the keyword.

Prompt – Persona: Act as a seasoned content marketer in the B2B SaaS industry. You’re great at coming up with topic ideas with different angles for the same keyword.

Goal: Give me several title ideas, each covering different angles for the primary keyword: AI in marketing. 

Context: I want to write a comprehensive blog targeting the keyword AI in marketing. 

Copy AI gave me 10 title ideas, each with a different angle for the keyword AI in marketing.

I liked the second title, i.e., Unlocking the Potential: How AI is Revolutionizing Marketing Strategies.

Now, let’s embed our primary keyword in the title.

Prompt: In the title, Unlocking the Potential: How AI is Revolutionizing Marketing Strategies, add the primary keyword – AI in marketing. Ensure it sounds natural.

Perfect!

Next, let’s create a high-level outline for the topic.

Prompt: Create a blog outline for the topic: Unlocking the Potential: How AI in Marketing is Revolutionizing Strategies.

My target audience is marketers in the B2B industry who are thinking of using AI in their marketing processes.

The outline Copy AI gave was comprehensive and quite close to what I had in mind. With just a few tweaks, I can move forward to the research stage.

From here on, all the processes were done manually – research, writing, editing, proofreading.

Create Workflow for Different Content Marketing Processes

Another useful feature of Copy AI is the Workflows feature.

According to Copy AI:

“AI workflow automation is a process that leverages artificial intelligence (AI) to launch and maintain tedious or routine tasks. This can include projects such as data entry, processing, and analysis.”

In simple terms, you explain to Copy AI the process you want it to map out, and it will get it done. When you run the process, it will execute the steps.

To access the Workflows feature, click the ‘Workflows’ option from the left side menu.

You can then describe your workflow in the text box for Copy AI to make a step-by-step process. 

For the sake of giving you an example, I am using one of the example prompts by Copy AI.

Prompt: Given a blog URL, scrape the URL and then summarize the content in the URL within 3 bullet points.

👀 Note: The more complex your workflow instructions, the longer Copy AI takes to create them. It took Copy AI about a minute to build this four-step process.

With the generated workflow, you can:

  • Publish it
  • Test it
  • Edit each step in the workflow
  • Add a step anywhere in between

Time to test the workflow. Go ahead and click on ‘Test Workflow.’

On your right, a test space opens up. For my workflow, Copy AI asked me to input the blog URL, so I went ahead and did that and clicked on ‘Run Workflow Test.’

Copy AI will now automatically run other steps in the workflow to ensure everything is working perfectly.

Once you’re satisfied with the Workflow, click ‘Publish.’

Click on Run, enter the URL, and run the workflow.

It takes some time for Copy AI to process all the steps, so be patient (it took the above process about 5 minutes).

The step 3 – Summarize Text is what you want to look at after the process is done.

Copy AI also gives you the option to run a specific workflow in bulk. That means you can actually give Copy AI multiple links, and it can give you all blog summaries at once, and this is what I think is the real value of the feature.

To run the workflow in bulk, click the ‘Table’ option from the top menu:

There are 2 ways to add a new blog URL:

  1. Import a CSV with all the blog links.
  2. Simply add a new row and copy-paste the links.

I have a CSV ready, so I uploaded the CSV to Copy AI, and here’s what it looked like:

I then clicked ‘Run All,’ and voila!

These are the 3 prominent features and ways I generally use Copy AI.

Some other use cases you can use Copy AI for are:

  • Create briefs from outlines
  • Identify content gaps in your niche
  • Brainstorm header and title ideas
  • Attach a file and ask for an analysis
  • Upload a blog and ask Copy AI for its feedback

How Business Should NOT Use Copy AI

Using Copy AI as an aid in your writing and content marketing processes helps increase productivity and streamline workflow. 

But with AI comes the temptation of generating lots of content and scaling the content creation process to get traction fast. And yes, you will get quick initial traction, but it surely won’t be sustainable.

Even when you create the first draft using Copy AI and edit it thoroughly, I don’t think it can beat human-written content.

To prove the above point, I ran an experiment.

Recently, I wrote an article about the Challenges and Opportunities of Electric Vehicles, and one of the challenges I wanted to cover for this topic was Range Anxiety.

I asked Copy AI to write a 200-220 word paragraph explaining to me how Range anxiety was a challenge for EV owners. Here’s the result:

If you ask me, Copy AI made a decent effort to explain it, but that’s all it did – Explain. The content, in general, was boring; it didn’t mention any facts about range anxiety, and it wasn’t specific. 

For example, one of the sentences generated was – ‘A typical electric vehicle may take several hours to fully charge, while refueling a gasoline vehicle takes only a few minutes.

This line clearly shows that the content generated lacks depth (several hours – how many hours is several? Few minutes – again, no specificity).

Of course, I can ask Copy AI to add it to the paragraph, but then I’d have to double-check by researching it.

Here’s the explanation that I wrote for why Range anxiety is a challenge for EV owners:

So, my advice to you is – use AI to:

  • Brainstorm keyword and title ideas
  • Generate an outline
  • Find content gaps 
  • Generate supporting keywords

And other processes that support content creation and SEO. Stay away from using it to actually generate content that goes into your blog.

What I Like About Copy AI

Copy AI has some powerful features that make it stand out from its competitors. Here are a few things I like about it:

1. Minimalistic Interface

If we talk about the Marketing OS of Copy AI on a broad level, it has just 3 features – Chat, Brand voice recognition, and Workflows. 

The Chat feature opens doors to endless possibilities, brand voice recognition trains Copy AI to follow your tone based on the inputs, and the Workflow feature takes care of automating recurring marketing processes.

Copy AI’s dashboard shows just these two features (and some more information), not overwhelming you with the platform’s use cases.

2. Great Tool for Outline Creation

When I asked Copy AI for an outline, it covered almost all the headers I was looking for. 

Of course, I have to analyze the top results from the SERP for the keyword and add/remove headers based on it, but overall, Copy AI made the outline creation process faster.

With the Tailor chat to your brand voice feature, I was even able to create a brief that matches my writing tone.

3. A Powerful Tool to Summarize Articles in Bulk

Copy AI’s Workflows tool is a powerful asset for automating repetitive tasks. Imagine if you want to summarize 100s of articles for competitor analysis or just stay updated with the current trends. Doing the process manually will take you weeks.

Instead, using Workflows, you can create a process and give Copy AI the URLs you want to summarize. The tool will get the job done in just a few minutes.

This is a super powerful feature that I will be using quite often!

What I Dislike About Copy AI

Some of the features of Copy AI are just mind-blowing, but not everything is sunshine and rainbows. It has its drawbacks.

1. High Plagiarism

When I was testing Copy AI to generate content, it often gave me a high percentage of plagiarism. However, in order to use it anywhere online, I have no other option but to edit it and remove plagiarism, so it’s at least less than 5%.

2. Gets Confused for Workflows More than 3 Steps

Although I am a big fan of the Workflows feature of Copy AI, the feature is heavily dependent on how you structure your prompt and the number of steps in your process.

When you give Copy AI a long process (more than 5 steps), it often gets confused and gives partially incorrect steps, which you have to edit manually.

Alternatives to Copy AI

If you think Copy AI’s not the right fit for your business but you’re still passionate about using AI in your content operations, here are a few Copy AI alternatives you can explore:

  • ChatGPT: Can help you with content ops and image generation

Do I Recommend Using Copy AI?

Time to address the 🐘 in the room – Is Copy AI worth your time and investment?

Yes, Copy AI is definitely worth a try. Use the software’s AI to brainstorm keyword ideas, topic ideas, outline creations, sentiment analysis, and all other supporting marketing operations.

But remember, it’s just a tool; it can generate content, but human content, especially coming from an expert in a niche, is far superior to what you get from Copy AI.

If used correctly, Copy AI can increase your marketing team’s work efficiency significantly.
